Voluteers: First of all, please make your cell and home phone numbers available to Nancy McLure, the Chamber Administrator.

• Shopper's Guide

  Needs are:

  1. Distribute them around town
     
  2. If the decision is made to create new Shopper's Guides this year, then there is a large effort in early summer, with voluteer Madelyn English involved.

• Meet the Easter Bunny   Saturday March 31 11am - 2pm
  Volunteers: Vesna Nikodijevic, Joseph Rossi, Susan Schumann, Rich Steinberg

  Needs are:

  1. Joe is the main organizer: Contact other volunteers; get signs printed and posted prior to the event; get a photographer; plan distribution of photos; handle Hold Harmless and Certificate of Insurance forms.
     
  2. Using your truck or large SUV transport a pergola (wedding arch) from Ken Rent to the site and set it up.
     
  3. A sign needs to be made to say "thank you" to all contributors, like Ken Rent, the photographer, the shop that prints the pictures (if so), and physically displayed at the event.
  4. We have a sign saying "Event Sponsored by the BCC" which should be physically displayed at the event.
  5. Set-up in the morning before the event. Including getting tables and a chair.
     
  6. Take photos of the children.
     
  7. Keep a written record of which child's picture is being taken during the event so as to be able to afterward assign a child's name to each picture.
     
  8. Clean up after the event.
     
  9. Handle distribution of photos.

• Sounds Around Town   Friday May 4th at 5pm
  Volunteers: Joseph Rossi, Cheryl Gromann, Rich Steinberg

  Needs are:
  

  1. Someone needs to be overall co-ordinator. Normally this is Joe.
  2. Signs need to be printed; sandwich boards need to be placed.
  3. The list of business participants is a large chore. Businesses need to be contacted to participate and sponsor. The list is normally maintained at Joe's office. But the list needs to be also available to Nancy because if, for example, the event is postponed to a rain date then Nancy should notify all participants by email. Could Google be used to have this available to everyone who needs it? Joe, Rich, Nancy.
  4. Hand out event flyers just before the event.
  5. Provide Frank with an electronic copy of the flyer to be put on the website.

• Sounds Around Town   Friday September 7th
  Volunteers: Joseph Rossi, Eileen Loughnane, Nancy Marcus, Susan Schumann, Rich Steinberg

• Unity Day   Saturday October 6th   This is the most important event and in need of the most help - please volunteer
  Volunteers: Joseph Rossi, Randy DeFazio, Roxanne Formisano, Jennifer Hillegass, Eileen Loughnane, Mary Meier, Susan Schumann, Joel Shenman, Rich Steinberg

  Needs are:

  1. Joe is the main organizer.
  2. Book rides, games, etc.
  3. Businesses need to be contacted to participate and sponsor.
  4. Arrange for posters to be printed and distribute them before event.
  5. Contact schools to ask for student volunteers.
  6. Visit businesses to obtain donations for Tricky Tray; remind businesses a week ahead or event; collect the items.
  7. The list of business participants is a large chore. The list is normally maintained at Joe's office. But the list needs to be also available to Nancy because if, for example, the event is postponed to a rain date then Nancy should notify all participants by email. Could Google be used to have this available to everyone who needs it? Joe, Rich, Nancy.
  8. Each participating business needs to sign an Hold Harmless Agreement and provide a Certificate of Insurance.
  9. Set-up week or more before: Do we have enough tickets? Of each kind? String for tying signs to tents. How much soda/drinks, in detail as to brand and size, to be ordered from Shop Rite. Possibly the Fire Department can handle the food completely?
  10. Set-up the day before: Pick up the soda etc from Shop Rite. Attach signs to each tent. Organize Tricy Tray items.
  11. Set-up the morning of the event: Large clear plastic containers, which will be for collecting used tickets, need to be distributed to the proper locations. Each container needs to be identified, on its exterior somewhere, so as to indicate the event name and number of tickets required for the event. The person working the event and so collecting tickets from customers needs to be reminded to require the right number of tickets from the customer.
  12. Someone to be in charge of the student volunteeers.
  13. Sell tickets during event. (Susan?) Ticket sellers---but not Tricky Tray---need to be told that if they have "double" tickets, then be sure to separate them, before handing them to the customer. We do not want the customeer to pay one dollar and have two good tickets.
  14. Monitor Tricky Tray.
  15. Take down.
  16. Thank the volunteers.

• Wreaths   November/December
  Volunteers: Mary Ann Donaghy

  Needs are:

  1. Mary Ann normally co-ordinates; create purchase form.
  2. Nancy sends out the purchase form in her eblast.
  3. Mary Ann collects returned forms and money; keep track of purchases; order wreaths from supplier.
  4. The Garden Club puts wreaths together; distribute wreaths.
  5. A volunteer is most needed to deliver the wreaths to the purchasers.
  6. Mary Ann handles settlements.

• Holly Days   December 1st
  Volunteers: Eileen Loughnane, Joseph Rossi, Susan Schumann

  Needs are:

  1. There are two matters/events: The Holly Days Singing event on Dec 1st and the Window Display Contest.
  2. Arrange for singers
  3. Take photos
